Spouse Visa Cover Letter Template UK: Section by Section

GOV.UK does not ask for a cover letter for a spouse or partner visa. It is optional. You can still include one: a clear index can help a caseworker find each document quickly. A useful cover letter is short and factual. It has six parts:

  1. Your name, contact details and the date
  2. Your application reference number
  3. One line saying what the application is
  4. The people in the application
  5. An index of every document you are sending, in groups
  6. A short closing and your signature

This post gives a template with those headings and explains what goes under each one. It is a structure only. It lists facts and documents; it does not argue a case. The evidence itself does that work.

Is a cover letter required?

No. GOV.UK's page Information and evidence you must provide lists the information and documents for a family visa. It does not mention a cover letter. Appendix FM-SE, which sets the specified evidence rules, does not mention one either. The same GOV.UK page says: "You'll be told exactly what documents to provide when you apply online."

So a cover letter does not replace any required document. It is an index for the documents you do send.

The template

Section by section

Header and date

Use your name exactly as it appears on your passport. Use the same spelling of every name in the letter as in the documents. If a name is spelt in two ways on different documents, the notes section is the place to say so, factually.

Application reference

GOV.UK says your GWF (Global Web Form) reference number is given to you when you first apply, and you can find it on emails and letters from the Home Office about your application. Put it near the top so the letter can be matched to your file.

What the application is

One line is enough. Name the application type as it appears in your online form. Do not add anything about why you think it should be granted.

People in the application

List the applicant, the partner, and any children, with the same details the online form asks for. This helps the caseworker link each document to the right person.

Document index

This is the main part of the letter. We suggest you group the documents in the same order as the sections on GOV.UK's Information and evidence you must provide page. GOV.UK does not require this order. That page has these sections:

"Your finances" is a section on the same page. It links to the Home Office guidance Appendix FM and Appendix HM Armed Forces: minimum income requirement. The detailed rules on what financial documents must look like are in Appendix FM-SE.

Under each heading, list one line per document: what it is, whose it is, and the dates it covers. For example:

Use only the last few digits of an account number. The full number is already on the statement.

If a list is long, number the documents and use the same numbers in your file names, for example 2.2-01-payslip-2026-04.pdf. Dates

Check that every date in the letter matches the date on the document. Appendix FM-SE paragraph 1(l) says that evidence for a period that ends on the date of application, or the most recently dated part of it, must be dated no earlier than 28 days before that date. If your application date moves, check the dates in the index again.

Translations

GOV.UK asks for a certified translation of any document that is not in English or Welsh. Appendix FM-SE paragraph 1(j) says you send the original and a full translation. The translation must be dated and include:

  • confirmation that it is an accurate translation
  • the full name and signature of the translator, or an authorised official of the translation company
  • the translator's or translation company's contact details

If you are applying from inside the UK (to extend, switch or settle), the translation must be certified by a qualified translator and give the translator's credentials.

In the index, list each translation directly after its original, for example "Marriage certificate (original, Thai) and certified English translation".

What to leave out

A cover letter that stays factual is easier to read. Leave out:

  • Arguments about why the application meets the rules
  • Quotes from the Immigration Rules
  • Long personal history. If you want to write about your relationship, that belongs in a separate personal statement, not in the index letter
  • Documents you are not actually sending
  • Full passport, National Insurance or bank account numbers where the last few digits are enough

Frequently asked questions

Do I need a cover letter for a UK spouse visa? No. GOV.UK does not list a cover letter in the information and evidence for a family visa. It is optional, and many applicants use one as an index to their documents.

How long should a spouse visa cover letter be? GOV.UK sets no length. It depends on how many documents you list. Keep it short: the letter is an index, not an argument.

Should the cover letter explain why we meet the requirements? This template does not do that. It lists who is in the application and which documents are enclosed. The documents are the evidence.

Where do I find my GWF reference number? GOV.UK says it is given to you when you first apply, and it appears on emails and letters from the Home Office about your application.

Do translated documents need to be listed separately? List each translation directly after its original. Appendix FM-SE asks for both the original and a full, dated translation.
