About Stratovisa

What does Stratovisa do?

Stratovisa helps you gather and organise the documents required for a UK visa application, without trawling through GOV.UK to work out what applies to you. You answer a few questions about your situation, we show you a checklist tailored to your visa type, and you upload or enter each document into a dedicated slot. When you're finished, you download a single ZIP package organised exactly the way the Home Office expects to receive it.

Is this immigration advice?

No, and we are deliberate about that. Stratovisa is a document organisation tool only. We do not:

  • assess whether you are eligible for a visa,
  • recommend which visa type you should apply for,
  • advise on the likely outcome of your application, or
  • represent you before the Home Office.

Providing immigration advice without OISC regulation is a criminal offence in the UK (section 84, Immigration and Asylum Act 1999). We are not OISC-registered, so we stay strictly within document organisation. For advice on your situation, consult an adviser regulated by the Office of the Immigration Services Commissioner or a solicitor authorised by the SRA.

Which visa types are supported?

Currently: the UK Skilled Worker visa and the UK Family visa (spouse or partner). These are the two routes our document research is complete and verified for. We add new visa types by updating our underlying requirements data (no rebuild of the tool is needed), so the catalogue will grow.

Who built Stratovisa?

Stratovisa is built and operated by VISA FLOW AI LTD, a small UK company registered in England and Wales (company number 17277625), based in Hertfordshire. We are registered with the UK Information Commissioner's Office as a data controller. How it works

What's the process, step by step?

  1. Tell us about your situation. A short intake (visa type, where you're applying from, dependants, financial situation) so we know which documents apply to you.
  2. Upload or fill in each document. Your dashboard shows one card per required document. Upload the file or enter the reference number (e.g. CoS, IHS).
  3. Cover letter and supporting statements. We generate these from the information you've already entered.
  4. Download your package. A single ZIP, organised by document type, with a cover sheet and submission instructions.

How long does it take?

Most applicants finish in under an hour, assuming the documents themselves are already to hand. The dashboard saves progress automatically, so you can do part of it today and the rest later. There is no deadline imposed by us.

Can I save my progress and come back?

Yes. Everything you enter is saved to your account as you go. The dashboard always shows exactly which documents are complete and which still need attention, so you can pick up where you left off across multiple sessions and devices.

What's in the final ZIP package?

  • Package Summary (PDF). Applicant details and a checklist showing every document's status.
  • Numbered folders by category. Your originals (passport, bank statements, payslips, etc.), placed in the order the Home Office tends to expect them, with clean filenames.
  • Generated documents. Cover letter, personal statement and other supporting documents we produce from your inputs, rendered as PDFs.
  • README.txt. Plain-English instructions on how to upload the files to the UKVI portal. The portal does not accept ZIPs, so files must be uploaded individually.

Documents

What is a Certificate of Sponsorship (CoS)?

A Certificate of Sponsorship is a unique reference number issued by your UK employer (your sponsor) confirming they are sponsoring your Skilled Worker visa application. Your employer issues it through their sponsor licence; you cannot generate it yourself. Once you have the reference number, you enter it into Stratovisa and it is included in your application package.

What is the Immigration Health Surcharge (IHS)?

The IHS is a per-year fee you pay online at gov.uk before submitting your visa application; it gives you access to the NHS during your stay. After you pay, you receive an IHS reference number. Enter that into Stratovisa and it will be cited in your cover letter and package.

What is the cover letter and how is it generated?

The cover letter introduces your application, lists every document included, and cross-references each one to the Home Office requirement it satisfies. We draft it for you using an AI model (Anthropic Claude), but only from the information you have explicitly entered, never from the contents of your uploaded files. You always see a preview and can edit anything before the package is generated.

What is the WhatsApp / Line chat import? (Family visa)

For Family visa applicants, we can turn an exported WhatsApp or Line chat history with your partner into a personal statement and a timeline of relationship milestones, which is useful evidence the Home Office routinely asks for. The export is processed in memory to extract milestones; sensitive identifiers (passport numbers, NI numbers, sort codes, account numbers) are stripped by regex before anything reaches our AI provider, and the raw chat export file itself is never sent to any AI service. The feature is entirely optional. You can fill in a guided form instead, or skip it altogether.

What file formats can I upload?

PDF is preferred. JPEG and PNG are also accepted for photos and scans. Make sure scans are clear and all text is legible. Individual files should stay under 6 MB so they are accepted by the UKVI portal. We'll warn you in the package summary if any file is over the limit.

What does Stratovisa do to prepare files for upload?

The UKVI portal rejects files that are over its size limit, in the wrong format, password-protected, or visibly corrupted, and people often don't notice until the application is already in flight. We catch those things up front:

  • HEIC (iPhone) and WebP images are converted to JPG automatically.
  • JPG and PNG files over 6 MB are compressed in steps until they fit, without losing readability.
  • PDFs are checked for password protection, corruption, and truncation, with a clear message if any of these is the problem.
  • Very low-resolution scans get a warning so you can rescan before you submit.

Different countries route through slightly different portals (UKVI direct, UKVCAS, VFS Global, TLScontact), and limits drift quietly. We use the most conservative 6 MB cap so files work across all of them.

Pricing & access

How much does it cost?

  • Skilled Worker visa: £89
  • Family visa (spouse / partner): £179
  • Student visa: £89

One-time payment per visa. Access lasts 12 months from the date of purchase. For context: a human-reviewed document check typically runs £300–350, and solicitor representation for a spouse visa runs £1,500–£4,000.

Is this a subscription?

No. It is a single one-time payment per visa type. No auto-renewal, no recurring charges, nothing to cancel. The charge appears once on your statement and never again.

What does "12 months of access" mean?

You have full access to the tool for 365 days from the date you pay. You can return as many times as you want, regenerate the package, and update your documents. After 12 months, your account itself remains, but generating a new package requires renewed access.

What payment methods are accepted?

All major debit and credit cards, processed by Stripe. Your card details are entered directly into Stripe's secure form. Stratovisa never sees or stores your card number, expiry date, or CVC. You receive a receipt by email immediately after payment.

Why is the Family visa more expensive than the Skilled Worker visa?

The Family visa application is substantially more document-heavy than the Skilled Worker one: relationship evidence, financial evidence, accommodation evidence, and a personal statement that needs to tell your story. The chat-import feature and personal-statement generation are included with the Family visa price, and they are the most computationally expensive parts of the tool.

Privacy & data

Who can see my uploaded documents?

Only you. Documents are stored in a private Supabase Storage bucket, scoped to your authenticated account through database row-level security. No one else (including Stratovisa staff) has routine access to your files. We do not share, sell, or use them for any purpose other than building your application package.

Does Stratovisa send my documents to an AI?

The uploaded files themselves are never sent to any AI service. The only data that reaches an AI model (Anthropic Claude, used for drafting the cover letter and personal statement) is text you have explicitly entered into the tool, and even that has sensitive identifiers (passport numbers, National Insurance numbers, sort codes, bank account numbers) stripped by regex before transmission. If you would prefer not to use AI features at all, you can skip them; the core checklist, dedicated slots, and package assembly all work without AI.

Where is my data stored?

Account data and uploaded documents are stored in Supabase (Postgres database and Storage bucket), hosted in the EU. All transit is encrypted over HTTPS. The full breakdown of every processor we use (Supabase, Stripe, Anthropic, Vercel, Render, Sentry), what each one sees, and the legal mechanism we rely on for any international transfer is in our Privacy Policy.

How long is my data kept?

While your account is active, your data is kept for as long as you want it. If your account is inactive for 12 months, we email you a warning; if you do not log in within 30 days of that warning, the account and all associated data are deleted. After deletion, data is removed from our live systems within 30 days, though it may remain in our provider's automated backups for up to 30 days after that. Billing records (date, amount, your email) are retained for 7 years to meet UK tax obligations, but they contain no application documents or profile data.

How do I delete my account?

Go to Account → Danger zone and click "Delete account". This removes your account, all uploaded documents, and all associated data, apart from the limited billing records noted above. Deletion cannot be reversed after the 30-day grace period.

After your purchase

What happens if my application is refused?

Stratovisa helps you assemble your documents. The Home Office decides the outcome, and we have no control over their decision. We cannot represent you, appeal on your behalf, or advise you on next steps. If your application is refused, the right next step is an OISC-regulated adviser or an SRA-authorised solicitor.

What if GOV.UK changes requirements after I pay?

Our requirements data is sourced from GOV.UK and we refresh it when guidance changes. Because your access lasts 12 months, you can return and regenerate your package against the updated requirements at any time within that window. UK visa requirements can change at short notice, so before you submit, please verify the current checklist against GOV.UK. You are ultimately responsible for the contents of your application.

Can I use one account for someone else, or for two applicants?

Each account is intended for one applicant. If both partners are applying separately (rather than as dependants on one application), each of you needs your own account and purchase. Dependants included on a single application (for example, children on a Family visa) are handled within that one account at no extra cost.

Does Stratovisa submit my application to the Home Office?

No. The tool prepares your documents; you submit them yourself through the UKVI online portal at gov.uk. We don't have a direct integration with the Home Office and don't accept information on their behalf. Your downloaded package includes a short README explaining how to upload the files in the order the portal expects.

Technical

Which browsers are supported?

Stratovisa works on all current versions of Chrome, Firefox, Safari and Edge. Keep your browser up to date for the best experience and to ensure file uploads behave correctly.

Can I use Stratovisa on mobile?

Yes, the interface is fully responsive and the entire flow works on a phone or tablet. For uploading multi-page document scans, a desktop or laptop tends to be more convenient, but it is not required.

A note from the founder

If you're working on a UK Family visa right now, you have my sympathy. I did mine earlier this year and the hardest part was never any single form. It was wondering whether I'd missed something obvious.

That's why this exists. Stratovisa gives you a checklist shaped around your situation, a slot for every document, and a single tidy package when you're done.

It won't tell you whether the application will succeed. That's the Home Office's call, not ours. But it'll stop you from sending in something half empty.
