Terms of Service

Stratovisa — operated by VISA FLOW AI LTD ("we", "us", "our")
Last updated: 26 June 2026

IMPORTANT — NOT IMMIGRATION ADVICE

Stratovisa is a document organisation tool. It is not an immigration adviser and does not provide immigration advice or immigration services as defined by Part V of the Immigration and Asylum Act 1999.

Stratovisa does not:

  • Assess your eligibility for any visa
  • Recommend which visa type you should apply for
  • Advise on the likely outcome of your application
  • Represent you before the Home Office or any other authority

Providing immigration advice without registration with the Office of the Immigration Services Commissioner (OISC) is a criminal offence under section 84 of the Immigration and Asylum Act 1999, carrying penalties of up to two years' imprisonment on indictment. Stratovisa is not OISC-registered. Its service is deliberately designed to remain within the bounds of administrative document assistance only.

If you need immigration advice, consult an OISC-registered adviser or a solicitor authorised by the Solicitors Regulation Authority.

1. About the service

Stratovisa helps UK visa applicants identify, upload, and assemble the supporting documents required for their visa application into a single, structured, downloadable package. The document requirements it presents are sourced from GOV.UK guidance and maintained by us.

The service does not submit applications, communicate with the Home Office, or provide any form of immigration legal advice.

2. Acceptance of terms

By creating an account or using Stratovisa, you confirm that you have read and agree to these Terms of Service and our [Privacy Policy]. If you do not agree, do not use the service.

We may update these terms from time to time. We will notify you of material changes by email at least 14 days before they take effect. Continued use after the effective date of a change constitutes acceptance.

3. Eligibility

You must be 18 or over to create an account. By registering, you confirm you are at least 18 years of age. We reserve the right to suspend or delete accounts where we have reason to believe the account holder is under 18.

The service is available to users worldwide, but is designed specifically for individuals applying for UK visas. We make no representation that the service is appropriate or lawful for use in jurisdictions other than the UK.

4. Your account

You are responsible for:

  • Keeping your login credentials secure and confidential
  • All activity that occurs under your account
  • Notifying us immediately at legal@stratovisa.com if you suspect unauthorised access to your account

You may not create accounts on behalf of other people without their explicit knowledge and consent. You may not transfer your account to another person.

5. The service — what we provide and what we do not guarantee

5.1 What we provide

  • A checklist of documents required for your selected visa type, based on GOV.UK guidance
  • A structured upload flow with one dedicated slot per required document
  • Automatic filtering of conditional documents based on your intake answers
  • A downloadable ZIP package containing your uploaded documents and any app-generated supporting documents (cover letter, supporting statements)

5.2 Accuracy of document requirements

The document requirements presented by Stratovisa are sourced from GOV.UK and maintained by us. We aim to keep this data accurate and up to date, but UK visa requirements can change at short notice. You are responsible for verifying the current requirements directly with GOV.UK or an immigration adviser before submitting your application. We do not guarantee that the checklist reflects the most current Home Office guidance at the moment of your use.

5.3 No guarantee of application outcome

Using Stratovisa does not guarantee that your visa application will be accepted, processed faster, or decided in your favour. We accept no responsibility for refused, delayed, or returned applications.

6. Acceptable use

You agree not to use Stratovisa to:

  • Upload documents that do not belong to you or that you are not authorised to submit
  • Submit, create, or process fraudulent, forged, or misleading documents in any visa application
  • Attempt to circumvent, reverse-engineer, disable, or interfere with any security feature of the service
  • Scrape, copy, or systematically extract the document requirements data for redistribution
  • Use the service in any way that violates applicable UK law or the laws of your country of residence

Breach of this section is grounds for immediate account termination and may be reported to relevant authorities.

7. Payment and access

7.1 Pricing model

Stratovisa is sold as a one-time purchase granting twelve (12) months of access from the date of payment. There is no recurring subscription. We do not auto-renew or take any further payment without your active reauthorisation.

7.2 Payment processor

Payments are processed by Stripe. Your card details are submitted directly to Stripe and are never stored on our servers. By proceeding to checkout you are also subject to Stripe's own terms of service.

7.3 Cooling-off and refunds

Statutory cooling-off right. Under the UK Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013, and the equivalent EU Consumer Rights Directive 2011/83/EU for EEA-resident consumers, you have the right to cancel your purchase within 14 days of the day of purchase for a full refund — provided you have not yet used the service to generate or download a visa application package.

Where you expressly request that we begin providing the digital service immediately at checkout, you acknowledge that you will lose this cooling-off right once the digital content has been fully supplied (i.e. once you have downloaded a package).

Refund process. Email legal@stratovisa.com from your registered email address within the 14-day window. We will refund the full purchase amount to your original payment method within 14 days of receiving the request.

No partial refunds. Outside the 14-day cooling-off period, fees paid are non-refundable. We do not pro-rate for unused months of the 12-month access window.

7.4 Referral discount

If you used a valid friend referral link at signup, a one-time discount is applied at checkout. The discount is not transferable, cannot be combined with other discounts, and applies only to your initial purchase.

7.5 Price changes

Pricing displayed at the time of purchase is what you pay. Future price changes do not affect your existing 12-month access. If you choose to re-purchase access after expiry, the then-current price applies.

7.6 Failed payments and chargebacks

If a payment fails or is reversed (chargeback, dispute), we may suspend your access pending resolution. Chargebacks that we believe are without merit may result in account termination.

Note for solicitor review (not part of the terms): §7.3 implements the standard digital-content carve-out under Sch 1 Part B (q) of the Consumer Contracts Regulations 2013. The implementation must surface a consent checkbox at checkout for the "begin providing immediately" acknowledgement.

8. Your content and intellectual property

8.1 Your documents

You retain full ownership of all documents you upload to Stratovisa. By uploading, you grant us a limited, temporary, non-exclusive licence to store and process those documents solely to generate your visa application package. This licence ends when you delete the document or your account.

We make no claim to ownership of anything you upload.

8.2 Our intellectual property

The Stratovisa software, user interface, branding, and the document requirement data we compile and maintain are owned by VISA FLOW AI LTD. You may not copy, reproduce, reverse-engineer, distribute, or create derivative works from any part of the service without our written permission.

9. Disclaimers

THE SERVICE IS PROVIDED "AS IS" AND "AS AVAILABLE" WITHOUT WARRANTIES OF ANY KIND, EXPRESS OR IMPLIED, INCLUDING WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, OR NON-INFRINGEMENT.

We do not warrant that:

  • The service will be uninterrupted or error-free
  • The document requirements data will be complete, accurate, or current at all times
  • The service will meet your specific requirements or produce a successful visa application outcome

Nothing in these terms affects any statutory rights you have as a consumer under UK law that cannot be excluded.

10. Limitation of liability

To the maximum extent permitted by UK law, our total aggregate liability to you for any claims arising out of or in connection with these terms or your use of the service — whether in contract, tort (including negligence), or otherwise — shall not exceed the greater of:

(a) the total fees you paid to us in the 12 months immediately preceding the claim; or
(b) £100.

We are not liable for any indirect, consequential, special, or punitive losses, including loss of profit, loss of data, or loss arising from a refused visa application.

Nothing in these terms excludes or limits our liability for:

  • Death or personal injury caused by our negligence
  • Fraud or fraudulent misrepresentation
  • Any liability that cannot be limited or excluded under applicable UK law

11. Indemnity

You agree to indemnify and hold harmless VISA FLOW AI LTD, its officers, and employees from any claim, loss, or damage (including reasonable legal costs) arising from: your breach of these terms; your violation of any law in connection with your use of the service; or any documents you upload that are fraudulent, forged, or submitted without authorisation.

12. Account termination

12.1 By you

You may delete your account at any time from Account Settings. Deletion triggers the data retention process described in our Privacy Policy. Your purchase is a one-time payment for 12 months of access — deletion of your account does not refund unused access time. The 14-day cooling-off right described in §7.3 applies separately.

12.2 By us

We may suspend or terminate your account without notice if:

  • You breach any provision of these terms
  • We reasonably suspect fraudulent activity
  • We are required to do so by law or a regulatory authority

Where it is lawful and appropriate to do so, we will give you reasonable notice before suspension or termination.

13. Governing law and disputes

These terms are governed by the law of England and Wales. Any dispute arising from or in connection with these terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.

If you have a complaint about the service, please contact us first at legal@stratovisa.com. We will attempt to resolve disputes informally before either party initiates formal proceedings.

14. General

Entire agreement: These terms, together with the Privacy Policy, constitute the entire agreement between you and us regarding your use of Stratovisa.

Severability: If any provision of these terms is found to be unenforceable, the remaining provisions continue in full force.

No waiver: Failure to enforce any provision of these terms does not constitute a waiver of our right to enforce it in future.

15. EU/EEA consumer rights

Nothing in these terms affects mandatory consumer rights you have under the law of your country of residence in the European Economic Area, including but not limited to the Consumer Rights Directive (2011/83/EU) and the Directive on contracts for the supply of digital content and digital services (2019/770). Where those rights conflict with these terms, those rights prevail.

EU/EEA consumers also retain the right to lodge a complaint with their local consumer-protection authority and to access the European Commission's Online Dispute Resolution platform at ec.europa.eu/consumers/odr.
